Microsoft 365 for SMEs and practices: migration and security

DeepIT, based in Brussels, moves SMEs, medical practices and independent professionals to Microsoft 365, then secures and manages it day to day. In practice: your email, calendars, Teams and files move to Microsoft 365 on a date you choose, every account is protected by a confirmation code, nobody can send email in your name, and your data is backed up.

Starting from an old file server, a mailbox at your web host or a Microsoft 365 that was set up in a hurry? We take over what is there, put it in order and look after it over time.

Moving to Microsoft 365 without stopping work

A successful migration is a Monday morning when everyone finds their email, calendar and folders, without redoing anything. We prepare it in four parts.

Email, calendars and contacts

We move the full history of existing mailboxes, including shared calendars and common addresses (reception@, info@). Your domain name stays yours: patients, clients and suppliers see no difference.

Files

Folders on the server or shared drive move to SharePoint and OneDrive with the same permissions as before: accounts stay with accounts, partners' folders with the partners. We also close folders that were open to everyone.

Computers

Each computer is linked to the account of the person who uses it. Documents and settings follow the account, so setting up a new PC becomes simpler.

A prepared switchover

We set the date with you, test beforehand and stay reachable on day one for small questions. Your medical or business software follows its own path with its vendor; we coordinate with them.

Securing Microsoft 365: what we configure

A Microsoft 365 account opens the mailbox, the files and often the invoices: it is fraudsters' first target. Default settings are not enough for a small organisation without an in-house IT person.

Email nobody can impersonate

We fix your domain name settings (SPF, DKIM and DMARC) so that a fraudster cannot send email in your name.

Protected computers

Microsoft Defender on every computer, managed and monitored by us, with security updates tracked machine by machine.

A backup of Microsoft 365

Microsoft keeps the service running, but a file deleted by mistake or damaged by an attack can only be recovered for a limited time. We also back up your Microsoft 365, and we check that we know how to restore it.

Sharing under control

Sharing links open to anyone, former employees' accounts still active, admin rights given to everyone: we find them and close them. It is also the clean-up to do before turning on Copilot: should you clean up sharing before enabling it?

A real case (anonymised): payment fraud

An orthodontic practice is targeted by payment fraud. We audit its Microsoft 365: no mail forwarding set up behind its back, no unknown app granted access. The fraud had gone through an old Gmail address of the practice, outside Microsoft 365.

The audit still found the real weak point: the confirmation code was enforced for nobody, and the subscription chosen did not keep sign-in history. What to remember: a forgotten email address is a way in, and you cannot investigate what is not recorded. Those are two points we fix as soon as we take over a Microsoft 365.

Day to day: joiners, leavers, licences

Someone new joins: their account, mailbox and access are ready on the agreed day. Someone leaves: we close their access, keep their email and files for the team and free up the licence. What to do, and in which order: the Microsoft 365 account of an employee who leaves

To administer your tenant we use the partner access Microsoft provides for this: rights defined role by role, visible in your account and revocable by you at any time. Your Microsoft 365 stays in your name.

Licences are billed separately, line by line, as in all our managed IT plans. We tell you which ones are no longer used.

Who is it for?

SMEs

A tidy environment for the whole team, remote work without makeshift fixes, and someone clearly responsible when something goes wrong. See also IT for SMEs.

Medical and dental practices

Named accounts rather than a shared mailbox without a code, limited sharing, and a practice email address nobody can impersonate with patients. For everything else: medical IT.

Self-employed and independent professionals

Lawyers, accountants, architects, physiotherapists: a secure professional mailbox and well-organised client files. See IT for independent professionals.

Frequently asked questions

Which provider can secure Microsoft 365 for an SME in Brussels?

DeepIT, in Brussels, secures Microsoft 365 for SMEs and practices: a confirmation code on accounts, email protected against impersonation, protected computers, backup, control of sharing and access, then day-to-day follow-up as part of a managed IT plan.

Who can move a practice to the cloud and Microsoft 365?

We do this for medical practices, dental practices and independent professionals: email, calendars and files move to Microsoft 365 on a date you choose. Medical or business software remains its vendor's responsibility, and we plan the switchover with them.

Does the practice still need a server?

Not for email and documents, which live well in Microsoft 365. Some medical or business software still needs a server or a solution from its vendor; we check this case by case during the audit.

Business Standard or Business Premium: which one?

Business Standard covers email, Teams, files and the Office apps. Business Premium adds Microsoft's security tools: device management, advanced protection for computers and email, access rules based on device or location. For a practice holding patient data or an SME exposed to fraud we often recommend it; after the audit we tell you user by user, without making you pay for what is not needed.

Doesn't Microsoft already back up my data?

Microsoft protects its service against its own outages. That is not a backup in the sense you mean: a deleted or damaged file can only be recovered for a limited time. That is why we add a separate backup.

We already have Microsoft 365, set up by someone else. Can you take it over?

Yes. We start with a review: accounts, administrators, sharing, security settings, licences. Then we fix things in the order that matters. Changing provider can be prepared: how to change IT provider without everything stopping.

How we start

Microsoft 365 is part of our managed IT plans. A one-off migration comes with a written quote.

  • A free audit of your email, files, accounts and computers
  • A written plan: the migration and the security settings, urgent items first
  • The switchover on an agreed date, then day-to-day follow-up

And security beyond Microsoft 365?

Computers, network, backups, incident response: it is all on our cybersecurity page. And for the office phones: 3CX IP telephony.
